Grand2 Inc. (hereinafter referred to as "the Company") recognizes the protection of personal information as an important responsibility, and pays close attention to the collection and handling of personal information of individuals and corporations (hereinafter referred to as "Users") who use "TAS-CHA" (hereinafter collectively referred to as "the Service") in accordance with the privacy policy established by the Company.
1. About Personal Information
What is Personal Information
In this Service, "personal information" refers to information that can identify a living individual user, including corporate information, such as name, address, telephone number, email address, credit card number, and bank account number (including information that can be easily cross-referenced with other information to identify a specific individual). In this Service, personal information is collected only when the User submits personal information and agrees to its collection through other methods prescribed by the Company.
Purpose of Collecting Personal Information
Users may be asked to register personal information when using this Service. The personal information registered by Users is used for the following purposes and is strictly managed.
- 1. For providing, managing, and operating the Service
- 2. For making necessary communications to Users regarding use of the Service
- 3. For collecting and creating statistical data that does not identify personal information for the purpose of operating the Service
- 4. For providing services aimed at secure transactions
- 5. For providing identity verification services aimed at secure transactions
- 6. For providing telephone verification services aimed at improving reliability
- 7. For providing user rank services aimed at improving reliability
- 8. For using information registered on external services in the Service when the User permits integration with external services such as SNS, or for providing information to such external services
- 9. For providing information and advertising related to the Service and services provided by the Company's partners via email or other methods
- 10. For responding to inquiries
- 11. For conducting media interviews with Users
- 12. For hosting user-participation events
2. Handling of Google User Data
With the User's consent, the Service obtains the following Google user data through authentication with a Google account (Google OAuth) and the Google APIs. The Google user data obtained is used only within the scope of the purposes disclosed at the time of collection, and the Service stops obtaining such data once the User disconnects the integration.
- Basic profile information (name, email address, and profile image): to authenticate the User's login to the Service and to identify the account
- Google Calendar events (read and create): to check availability for candidate time slots in the scheduling feature and to add confirmed events to the User's calendar
- Google Meet conference information and transcripts: once the User connects their Google account, transcripts are obtained automatically after each meeting ends, so that the User can create minutes from them. The Service does not obtain recording or audio data
The Service's use and transfer of information received from Google APIs to any other application adheres to the Google API Services User Data Policy, including the Limited Use requirements.
3. Sharing, Transfer, and Disclosure to Third Parties
The Company does not sell, lease, disclose, or transfer Users' personal information, including Google user data, to third parties beyond the scope necessary to achieve the purposes set forth in this Policy. In particular, the Company does not provide such information to third parties for any of the following purposes:
- Serving targeted advertising
- Selling or providing data to data brokers
- Assessing creditworthiness or making credit decisions
- Making lending decisions
- Developing, training, or improving AI or machine learning models
The Company may provide or disclose Users' personal information to third parties, only to the extent necessary, in any of the following cases:
- To service providers entrusted with the cloud infrastructure and data processing necessary to provide and operate the Service (such as Google Cloud Platform and Cloudflare), to the extent necessary to perform their duties
- Where there is a legal obligation to disclose, or upon a lawful request from a court or governmental authority
- Where the User has given their consent
- Where personal information is transferred to a successor in connection with a merger, business transfer, or other succession of business
When the organization feature is used and an organization owner has enabled the viewing function in the organization settings, that owner may view messages and files posted in rooms and direct messages linked to the organization. The Company records the viewer, the organization, the target viewed, and the date and time of that viewing. The record does not include the text of messages or the contents of files.
4. Security Measures (Protection of Sensitive Data)
The Company has security procedures in place to protect the confidentiality of Users' personal information, including Google user data and sensitive information. Specifically, the Company implements the following organizational and technical safeguards:
- Encryption of communication channels (protecting data in transit via TLS/HTTPS)
- Encryption of stored data (encryption of data at rest on the cloud infrastructure)
- Minimization of access privileges and strict access control through authentication and authorization
- Ongoing monitoring and measures to prevent unauthorized access, leakage, alteration, or loss of information
In the unlikely event of a leak of personal information, the Company will promptly take necessary measures and notify the relevant parties in accordance with applicable laws.
5. Retention and Deletion of Personal Information
The Company retains collected personal information only for the period necessary to achieve the purposes of collection and for the period required to be retained by law. When the retention period expires, or when retention is no longer necessary, the Company will delete or destroy the relevant personal information without delay by appropriate means. Google user data is retained and deleted as follows.
- Basic profile information (name, email address, profile image): retained while the account exists, and deleted or anonymized when the User withdraws from the Service.
- Google Calendar connection data (authentication tokens and sync settings): deleted, together with revocation at Google, when the User disconnects the integration or withdraws from the Service.
- Information obtained from Google Calendar: sync records of confirmed scheduling events are deleted when the User disconnects the integration or withdraws from the Service. Time ranges of events retrieved to check availability are deleted automatically after the events end, and also when the User disconnects the integration or withdraws.
- Google Meet connection data (authentication tokens): deleted, together with revocation at Google, when the User disconnects the integration or withdraws from the Service.
- Transcripts obtained from Google Meet: retained after the User disconnects the integration, as the basis for minutes drafting and approved minutes, and deleted when the User withdraws from the Service. A User who wishes to have them deleted sooner may request it through the contact point below.
Users can disconnect the Google Calendar and Google Meet integrations at any time from the integration screen in account settings. Upon disconnection, the Company stops accessing the relevant Google account and deletes the authentication data as described above. Users can also revoke the Service's access from their Google Account settings (https://myaccount.google.com/permissions). In that case, stored data is deleted by disconnecting the integration in the Service or by withdrawing from the Service.
When a User withdraws from the Service, the Company will delete that User's personal information, including Google user data. However, information that is required by law to be retained for a certain period will be retained only for the period prescribed by such law and then deleted. The body of minutes created by the User remains as shared content in the room, but its association with the original Google Meet transcript is removed upon withdrawal.
Users may request the Company to disclose, correct, suspend the use of, or delete their personal information, including Google user data, through the contact point (https://hp.tas-cha.com/contact/). After confirming that the request is made by the User themselves, the Company will respond within a reasonable period in accordance with applicable laws.
6. Handling of Data in AI Features
The Service uses AI processing to summarize documents, draft minutes from meeting transcripts, and extract tasks. This processing is performed with Vertex AI (Gemini) provided by Google Cloud, and takes place entirely within the Google Cloud project operated by the Company. The Company does not send User data to any other third-party AI service.
The data sent for AI processing is as follows:
- The content of documents that the User has uploaded and asked to be summarized
- Transcripts of meetings for which the User has requested minutes (including transcripts obtained automatically from Google Meet)
- The body of minutes that the User has asked to be processed
Event information obtained from Google Calendar is not used for AI processing.
In accordance with the training restriction set out in the Google Cloud Service Specific Terms, data sent to Vertex AI is not used to create, train, or improve foundation models or any other machine learning or artificial intelligence models. Nor does the Company use User data for those purposes.
The Company obtains the User's consent before AI features are used. Consent can be withdrawn at any time from the account settings, after which AI features are no longer available.
The Service offers developer features, namely external application integrations, connectors, and a Model Context Protocol (MCP) endpoint. Only where the User configures these features themselves is data sent, at the User's direction, to the external systems the User has designated (including an AI runtime the User operates themselves). These integrations are disabled by default, and it is the User's responsibility to verify how data is handled at the destination. Transcripts obtained from Google Meet, and minutes created from them, are not sent through these integrations by default. They are included only for a User who has explicitly allowed it on the settings screen, and that permission can be withdrawn at any time. The transcripts themselves are never sent, regardless of this setting.
The Company does not use, transfer, or sell user data obtained from the Google Workspace APIs (including raw, aggregated, and derived data) to create, train, or improve generalized or foundation machine learning or artificial intelligence models.
